Event details
oInvitation sent to the counceller’s to attend the event. No response received yet.
oNeed to confirm the following:
Whipper Snapper (Kristen)
1.Set up availability – day of or night before - including artwork, decorations, etc.
2.Easels to hang the art
3.Availability of tables (5 tables) for Taking It Global, Beatz to da Streetz, door prize ticket distribution and admission, viewers choice selection, as well as brown paper forum and markers.
4.Set-up time on day of event
5.Ability to play music while attendees view the art work + actually bringing things
6.Availability chairs – couple of chairs
Beatz to da Streetz (Shanaz)
1.Do they want to speak?
2.Are they setting up a booth?
3.Performers needs?
Program for the event. Need to determine content and layout
1.Number of speakers – introduction, closing remarks, Beatz performers, etc
2.Confirm length of event (1-1.5 hours?)
Sample Program: Welcome thoughts????
Opening: Thank guests for coming, explain the exhibit
Remind people to walk around and vote for their favourite piece
Draw for the first door prize
30-45 mins for people to walk around and enjoy the exhibit
Introduce Beatz to da Streetz
Gwyn will speak?
Two performers
Contest winner announced and prizes presented
Draw for last door prizes
Closing remarks (Shanaz)
Total time: 4 – 5:30pm

Things needed:
oBrown paper for the forum question (Shanaz)
Need to determine what is the question we want to ask people to respond to and do we want to add anything further such as border, etc.
oFloat for entrance fee including box (Shanaz will bring)
oMarkers
oDecorations & tickets (Shanaz)
oViewers Choice – decorated box with slit, colored paper note pads, pens, numbering system for submissions
oScissors and tape (Shanaz)
oCertificates – viewers choice and winners (Stephanie)
oFancy mug (Shanaz)
oPhotocopying of brochures (Shanaz and Tracey)
oSignage – sponsors thank you, viewers choice, brown paper, each submission (Stephanie)
